1. Admission and Withdrawal Policy

This section sets the ground rules for how a child enters and leaves your program.

  • Eligibility: Define the age brackets for different levels (e.g., Playgroup, Nursery, KG).

  • Documentation: List required items like birth certificates, immunization records, and photographs.

  • Withdrawal Notice: Require a specific notice period (usually 1 month) or a "forfeiture of deposit" clause if a child is pulled out mid-term.

2. Fee Structure and Payment Terms

Money is often the biggest point of contention. Be crystal clear here.

  • Payment Schedule: State when fees are due (monthly, quarterly, or annually).

  • Late Fees: Define the penalty for payments made after the due date.

  • Non-Refundable Clauses: Clearly state that registration fees or admission fees are generally non-refundable.

  • Mid-term Hikes: Reserve the right to adjust fees with a 30-day notice.

3. Health, Safety, and Medical Policy

This is your most critical section for risk management.

  • Sickness Rule: Parents must keep children home if they have a fever, contagious rash, or "active" cough.

  • Emergency Consent: A clause authorizing the school to seek medical help/hospitalization if the parent cannot be reached.

  • Medication: Specify that staff will only administer medication if a written "Medical Authorization Form" is signed.

  • Vaccinations: Mandate that all students must be up-to-date with local health department requirements.

4. Operational Policies (The "Daily Life" Rules)

These keep the school running smoothly.

  • Timings: State the exact drop-off and pick-up times. Include a "Late Pick-up Fee" to discourage parents from being late.

  • Authorized Pick-up: Only persons listed on the "Authorized List" with valid ID can collect the child. No exceptions.

  • Food & Allergies: Detail your policy on snacks (school-provided vs. home-packed) and strictly prohibit common allergens like peanuts if necessary.

5. Discipline and Behavior Policy

  • Positive Reinforcement: State that the school uses "Time-ins" or redirection rather than corporal punishment.

  • Biting/Aggression: Have a clear "Biting Policy" that outlines steps taken if a child repeatedly hurts others (observation, parent meeting, and potential suspension).

6. Privacy and Media Release

In the age of social media, you must protect the children's data.

  • Photography: Ask for explicit consent to use the child's photo for the school's social media, website, or brochures.

  • CCTV Access: If you have cameras, clarify if parents have live access or if footage is for internal security only.
